Checklist for planning a safe and successful event

We all have stories about the Christmas party that went wrong. Whether it is a work function or a private do, there are some key steps that can help ensure it is a safe and successful event.

Transport

  • Ensure the venue you choose is close to safe transport options.
  • Encourage and promote safe transport options. This may include encouraging people to travel in groups, providing group transport options or appointing designated drivers.

Emergencies

  • Ensure the event organiser always has a charged mobile phone available in the event of an emergency.
  • Ensure a First Aid kit is at hand and an action plan is in place should an accident or injury occur.

Security

  • If you’re planning a large function, check out any potential security issues in advance with the venue.
  • Be cautious of promoting your event on social media and implement measures to ensure only invitees are permitted access to the venue.

Alcohol

  • If you are serving alcohol, ensure all applicable legal requirements for serving of alcohol are met.
  • If you are serving alcohol, ensure you provide and promote lower strength and non-alcoholic beverages.
  • Ensure tap water is available and free of charge.
  • When serving alcohol, ensure substantial food is also provided.
  • Discourage excessive or rapid alcohol consumption –no happy hours or drinking competitions.
  • Serve drinks in standard size portions where possible so people can easily monitor their alcohol consumption.
  • Encourage the use of plastic containers at outdoor events.
  • Encourage participants to consume water and non-alcoholic drinks for an hour before the end of the function.
  • Have a strategy in place for safely dealing with difficult situations that arise from alcohol consumption.

Of course there are always countless ways things can go wrong, but making a conscious effort to reduce the risks associated with large functions can greatly enhance the probability of a successful event.
